Information we handle

When you create an account, we receive basic profile information from your sign-in provider, such as your name, email address, and profile image. We also handle information needed to maintain account access and security.

When you use Phronis, we handle your selected scenarios and personas, any custom scenario or persona information you provide, conversation transcripts, session timing and usage details, and generated responses and feedback. These records allow you to use the service and review your practice history. Information you include may contain personal or sensitive details, so share only what you are comfortable submitting.

If you use voice features, audio is processed to recognize your spoken words. Phronis may retain the resulting transcript and related practice information; audio recordings are not kept in your Phronis practice history. Voice features may also generate spoken versions of responses.

Hosting and security services may process basic technical information, such as device or browser details and diagnostic events, to operate and protect Phronis.

How we use information

We use this information to provide conversation practice, generate simulated responses and feedback, maintain account access, manage plans and billing, protect the service, respond to support requests, and understand service usage.

Phronis uses automated systems to create simulated conversations and feedback. These outputs may be inaccurate or incomplete and are intended for practice, not as professional advice.

Service providers and processing locations

To operate Phronis, we may share relevant information with service providers that support cloud hosting and storage, account sign-in, artificial intelligence, speech recognition and voice generation, customer support, payment processing, and site analytics if enabled. When needed to provide these features, conversation content and speech input may be processed by AI and speech providers to generate responses, transcripts, assessments, or spoken output. Providers process information to support Phronis and may also handle it under their own privacy terms.

Payment details are collected and processed by our payment service provider during checkout. Phronis receives limited billing and subscription information needed to manage your plan, such as subscription status and transaction details; we do not store full payment card numbers in our service.

Our service providers may process information in India or other countries, depending on their locations and the services they provide. Their handling and retention practices may differ from Phronis’s, and processing in another country may be subject to local laws and provider terms.

If site analytics is enabled, it may collect usage measurements to help us understand how the service is used. Analytics is not intended to collect conversation transcripts or voice recordings.

Retention and your choices

Account and practice history remains associated with your account so you can review it while using Phronis. To request deletion of account or practice information, email us; we will review and respond under applicable law. Billing, security, and other records may be retained where required or permitted by law. Signing out or ending a practice session does not by itself delete account records.

You can choose whether to use voice features and what information to include in a practice session. You may contact us to request access to or correction of your personal information, request deletion, or raise a question or concern about its use. We will review and respond to requests under applicable law.

Your rights and privacy contact

Depending on applicable law, you may have rights to access, correct, or request deletion of personal information, withdraw consent where processing is based on consent, or raise a grievance. Phronis is intended for adults aged 18 and over. By creating an account or using the service, you confirm that you are at least 18 years old. If you believe someone under 18 has provided personal information to Phronis, please contact us using the address above.

Updates to this notice

We may update this notice as Phronis and applicable requirements change. The date at the top of this page indicates when it was last updated. We will provide notice or seek consent for material changes where required by applicable law.
